One of the most common concerns I hear from new clients is:
"But how can you make sure the writing still sounds like me?"
And honestly, it’s a fair question.
You’ve built a brand, grown a voice, and earned trust with your audience.
Handing that over to someone else to write for you? It can feel like a risk. What if it doesn’t sound right? What if you end up spending more time rewriting it?
The Proof is in the Feedback
capturing-tone-of-voice-how-can-my-writing-sound-like-youMy past clients have often seemed surprised by how I’m able to capture their voice.
This client told me she told me she’d worked with VAs before who had needed a whole load of input from her…but that I was able to capture her voice right from the off.
"I feel you captured my style of wording and feel of my business perfectly - I didn't have to alter anything as it felt exactly like something I would have written. This was a huge highlight for me."
So how exactly do I do it? How can I write in your voice, even when it’s totally different to mine?
How I Recreate Your Tone of Voice
1. I Just... Ask
It sounds simple, but this step is powerful.
I always start with a conversation. Mostly this means a video call and a questionnaire.
The things you say, the way you say them (as well as the things you don’t say) all give me an insight into your business and how you want it to be portrayed to the world.
These give me the invaluable insight I need into your business, values, and voice.
2. Your Existing Content Becomes My Library
Your digital footprint is a goldmine of information about your voice.
Your website, past blogs, email newsletters, even your Instagram captions, all give me clues.
I pay close attention to the words you use (and avoid), your sentence structure, rhythm, and tone. Even things like whether or not you use emojis in your writing.
This forms the foundation of your unique voice.
3. Your Customers Speak Volumes
Client reviews and testimonials are often overlooked when it comes to tone of voice.
Not just because they show what you’re great at, but because they show me how people relate to you.
Do they talk about you as if the two of you might be meeting for coffee like old friends?
Is it a formal review filled with professional language?
People tend to mirror people, so the way your customers talk about you, often reflects the way you talk to them.
4. Surprisingly, Voice is Quantifiable
There are a whole range of clever tools out there to measure sentence length, sentiment, reading level, and more.
They take your writing and score it on a number of different parameters.
I check in with these from time to time to make sure what I’m writing aligns with the content you already have.
This is actually a really fun part of the process that feels a bit like a challenge!
And If It’s Not Quite Right?
Don’t worry- edits are part of the process.
All my services include at least one round of revisions. So if something feels off, there’s always a chance to make a few adjustments.
